What personal data I collect

Through the contact form on this website, I collect: your name, email address, phone number (if provided), and the content of your message. I use this information to respond to your inquiry or request.

If you book a photo shoot, I also collect the information needed to carry out the assignment, such as your name, contact details, and arrangements regarding the shoot.

During a photo shoot, I take photographs in which you and/or other participants may appear. This imagery is also considered personal data.

Cookies and similar technologies

This website is hosted via Netlify. Netlify may collect technical data necessary for the website to function properly and securely, such as IP address and browser information. I currently do not use tracking or advertising cookies. Should this change in the future (for example, by adding website analytics), this policy will be updated and, where legally required, I will ask for your consent.

Why I process this data

I process your data to: respond to your message or inquiry, prepare and carry out a photo shoot, fulfil the agreement between us, and comply with legal obligations, such as tax record-keeping requirements.

Use of photographs

Photos taken during a shoot are, in the first instance, used to deliver your images to you as a client. Photos are only used in my portfolio, on social media (Instagram/Facebook), or on this website if you have given prior and explicit consent. You may withdraw this consent at any time by contacting me; the photos will then be removed from the relevant channels as soon as possible.

Retention period

I do not keep your data longer than necessary for the purposes for which it was collected. Contact form data is retained for a maximum of 1 year, unless an agreement results from it. Data related to a photo shoot (including invoices) is retained for as long as required by legal (tax) retention obligations, generally 7 years. Photos are retained for as long as reasonably necessary for delivery and, where consent has been given, for portfolio use.

Sharing with third parties

I do not share your data with third parties, except where necessary for the services provided, such as Netlify (hosting) and any parties involved in the delivery of photos (for example, a print service), and only to the extent necessary. I make agreements with these parties to safeguard the protection of your data.

Security

I take appropriate measures to prevent misuse, loss, unauthorised access, and other undesired actions involving personal data. If you believe your data is not adequately secured, please contact me at definedphotographics@hotmail.com.

Your rights

You have the right to access, correct, or request deletion of your personal data. You also have the right to withdraw any consent you have given for the processing of your personal data, to object to the processing of your personal data, and the right to data portability. You can submit such a request to definedphotographics@hotmail.com. I will respond as quickly as possible, and no later than within four weeks.

You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
